Department Investment Management ResponsibilitiesProvide pro-active office / administrative support to the investment management department, including but not limited to, completing Employee Status Change forms and New Employee Action forms, approve all non-exempt timesheets, track and report vacation carryover, create job authorizations and review/approve temp authorizations, review/approve educational assistance requests, approve/reject IM expense reports, approve check requests, manage all IM subscriptions, maintain business holiday card / gift needs, maintain files, and regularly update IM organizational chart and evacuation plan. Identify ways to improve forms, processes and procedures. Interact with MIS, Financial Control, HR, Compliance, General Office, Mailroom and other areas of the firm. Respond to questions from department employees regarding all matters relating to the department/firm.Manages and coordinates departmental events such as lunch and learns, open forum lunches with department manager, department celebrations, sporting events, and other firm events. Provide back-up administrative support to the department manager, including but not limited to, screening calls, opening and handling mail, filing, faxing, travel arrangements, managing the calendar, monitoring e-mail and voice mail, preparing presentations, gathering material in preparation for meetings and compiling and submitting expense reportsParticipate in other projects as requested by management and/or management committee members
