Details: Job: Directors & Managers Position is located at the Heart Hospital Clinic at 38th & Lamar, Austin, TXFUNCTION: Supervises day to day operations for clinical and non-clinical functions in a full time Electrophysiology department. This will include holter monitoring, event monitoring and device clinics. DUTIES AND RESPONSIBILITIES:Service1. Develop, implement and oversee action plans to maximize patient satisfaction in collaboration with physicians2. Develop, implement and oversee action plans to maximize referring physician satisfaction in collaboration with physicians3. Develop, implement and oversee action plans to maximize scores on the internal customer service surveysFinancial4. Ensure accurate and timely submission of all encounter forms daily to meet our Business Office goals5. Review all invoices for accuracy and approve on a timely basis. Recommend changes to lower costs6. Achieve business offices dashboard goals. Work with business office regarding insurance and collection procedures Identify, recommend and implement changes to improve workflow, increase labor efficiency, reduce costs and enhance revenues7. Develops, assesses and implements mobile device clinic requirements including ongoing assessment of equipment, personnel and number of days per month needed in each branch officePeople8. Evaluates clinical workloads to ensure equitable distribution and determine appropriate levels of personnel. Develop system to ensure job functions are matched with the employee's skills and pay scale. Cross train employees to allow for maximum flexibility and appropriate coverage9. Develop, implement and coordinate action plans to maximize employee survey scores10. Assist in the recruitment, selection, training and development of personnel. Evaluate performance and recommend merit increases and promotions11. Ensure implementation of benefit programs, job descriptions, personnel policies and payroll practices as established by Austin Heart. Administer corrective and/or disciplinary actions in coordination with the Human Resources Department and supervisor12. Evaluate, prioritize and coordinate staffing needs to ensure an equitable distribution of work which maximize patient satisfaction. Responsible for a variety of administrative matters (scheduling department meetings, managing staff PTO requests and time clock.) Assist IT with equipment requests13. Develop strong and collaborative working relationships with other office manager, support staff (echo, IT, business office, marketing, scheduling, nuclear medicine, human resources, and accounting), the Regional Office Manager, the Physician Office Leader, the Regional Physician Director and Regional Director; Periodic meetings with EP Physicians to ensure strong communication and the unified direction and priorities for the departmentQuality14. Develops departmental goals and objectives. Establishes and implements departmental policies and procedures. Identifies and resolves departmental problems and ensures compliance with regulations and standards. Interface with outreach clinics as needed 15. Review dictation work-list and report to appropriate physician. Includes timeliness of EMR sign-off16. Implement and monitor non-clinical policies and procedures to ensure a successful integration with non-clinical areas (such as the Business Office) in a smooth and efficient manner17. Oversee general department related issues by working with outside vendors and device representatives as needed to coordinate maintenance and needed repairs18. Ensure compliance to HIPAA during the release and scanning of medical recordsGrowth19. Visit referring physician offices for marketing and customer service issues. Coordinate marketing activities for your physicians20. Explore and implement new business development opportunities resulting in new patients and ancillary services21. Identify and develop outreach clinics Other22. Participate in professional development activities to keep current with health care trends and practices; including all annual trainings as required23. Maintain strictest confidentially24. Member of and attends EP Committee meetings25. Perform other duties as assignedRELATIONSHIPS AND INTERACTIONS:1. Reports to the Regional Office Manager2. Regularly communicates with physicians, patients, vendors, and other Austin Heart staff3. Frequent interaction with office personnelPHYSICAL DEMANDS:Requires prolonged sitting, some bending, stooping and stretching. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator and other office equipment. Requires normal range of hearing and eyesight to record, prepare and communicate appropriate reports. Requires the ability to distinguish letters or symbols. Requires valid driver's license. Requires corrected to normal vision range and the absence of color-blindness.TYPICAL WORKING CONDITIONS:Normal office environment. Occasional evening or weekend work. Flexible working hours required in order to meet the changing demands of the facility.
